Operations Director

Position Description – Operations Director 

Reports to: Deputy Director 

Position Summary: The Operations Director (OD) is part of the Organizational Management Team, and is responsible for oversight and implementation of all day-to-day internal operations of the Center. The Operations Director will implement day-to-day bookkeeping, process and initiate accounts payable and receivable, and fulfill other administrative duties as listed below. 

This position is a full-time salaried and 100% in-person position located in Milwaukee, WI. Work-related driving will be required, and as such, applicants must possess a valid Driver’s license, a reliable vehicle, and maintain (at a minimum) liability insurance on the vehicle. 

Core Role Responsibilities: 

● Day-to-day bookkeeping including prepping of accounts payable and receivable, in addition to making bank deposits as needed, payroll preparation, and assisting the Deputy Director with accounting-related data entry, audit prep, and financial reporting. 

● Staff the front desk during regular business hours Monday through Friday when there are no volunteers available to cover it; this includes answering phones, accepting deliveries and mail; conducting tours; maintaining the reception area; taking notes during staff meetings; etc. 

● Manage and maintain building and equipment-related vendor contracts and relationships, including but not limited to building repair and cleaning services; tech and tools equipment and services; financial services; event vendors, etc. 

● General Administrative Duties included but not limited to; processing all incoming and outgoing mail; maintaining digital and paper filing systems; making copies; ordering office supplies and merchandise; data entry; intake and processing of donations; organization of Food Bank and Free Clothing areas; etc. 

● Provide event planning and logistical support for all staff-related meetings and activities, as well as assist Associate Director with planning and logistics for all center-related events and activities, and support staff with logistics related to travel. 

● Work in close collaboration with the Deputy Director to create Standard Operations Procedures for staff in regards to tech and tools, administrative tasks, building security protocols, etc.

● Potentially manage up to one administrative assistant staff and up to 2 administrative interns, and assist the Associate Director with content maintenance on the website and day-to-day scheduling and management of administrative volunteers. 

● Create a welcoming, inclusive, and safe environment for visitors to the Center. 

● Participate in weekly management team, staff, and financial team meetings, and provide reporting content prior to and post as requested. 

● Other job duties as assigned 

Required Experience and Skills: 

▪ A minimum of 5 years in an Office Management or Operations Director role, with financial responsibility related to accounts payable and receivable and vendor contract and relationship management being a key aspect of that role. Experience in the Non-profit industry, or private, government, private, or foundational funding entities in same or similar role preferred. 

▪ Intermediate to advanced knowledge of and experience using Quickbooks/Quicken ▪ A minimum of 1-year experience in managing staff or high-level volunteers 

▪ Highly developed sense of ethics and a proven track record of trustworthiness to be in this role. 

▪ Ability to learn and possibly create systems and processes to streamline internal tracking, recording, and compilation of data and resources. 

▪ Knowledge about the diversity of LGBTQ+ identities, cultures, and communities, social and other indicators of LGBTQ+ individuals’ mental health and holistic well-being, identity development, and social justice advocacy. 

▪ Excellent written and verbal communication skills 

▪ Excellent interpersonal skills: Demonstrated ability to communicate cross-culturally and work effectively with individuals and groups, including those with socially marginalized identities and experiences. 

▪ Ability to inspire trust and respect among colleagues and external partners. ▪ Ability to work independently and as part of a team. 

▪ Organized and reliable; Proficient with current technology and communication systems as well as common office software and computer functions.

▪ Ability to work Monday through Friday, between 9 am and 5 am, as well as some evenings and weekends for special all-staff events as dictated by the needs of the organization. 

▪ Related degree or certification(s) a plus (Finance, Business, Human Resources or Non-profit Management, etc…) 

▪ Graphic Design experience using Adobe, PhotoShop, Canva, or similar tools is a plus 

▪ Ability to speak and/or translate written content into Spanish or other language(s) a plus 

Salary and Benefits: This is a full-time salaried position, with a base salary range of $60-70K annually, commiserate with experience and required skill sets, and negotiable upon offer of employment. If you are selected as a potential candidate for a first interview, the first step will be a brief meet-n-greet call to review the job description and ask questions geared towards determining if you will move to the first interview. 

If you are selected for a first interview, this will take place via Zoom (video conference), and with a committee of staff and directors. 

Candidates who are selected for a 2nd interview may be asked to prepare a brief presentation, writing sample, show previous examples of role-related projects, or another form of skills test prior to the 2nd interview to present/review with the hiring committee during the 2nd interview. You will also be asked to provide 3 references. The 2nd interview will most likely be in person but may happen via zoom pending the availability of hiring committee members to appear in person.
